How to manage inventory and reduce expired stock

Reducing expired stock starts with buying the right quantities and checking what actually reaches your shelves. Use this routine alongside AlTijara inventory, supplier orders and stock-out records. Shelf rotation and expiry checks remain physical store tasks.

1. Start with a reliable product record

Give each item the correct barcode, category, selling unit and purchase cost. Check whether a supplier invoice is for a carton or a single unit before receiving it. Count opening stock and investigate duplicate barcodes so one product is not spread across several records.

2. Check every delivery before accepting it

Compare the delivery with the supplier order and invoice. Count the units, inspect packaging and check expiry dates. Agree a minimum remaining shelf life with each supplier. Record only accepted quantities; keep rejected, missing and damaged items separate. Follow up on partial deliveries rather than recording the whole order as received.

3. Put the earliest expiry at the front

Use first-expiry-first-out: sell the batch with the earliest expiry first, even if it arrived later. Label shelves or keep a simple dated batch sheet when needed. Check short-life products daily and other dated products on a regular schedule. AlTijara stock quantities do not replace checking the dates printed on each batch; this guide does not claim automatic batch-expiry alerts.

4. Buy against demand and delivery time

Use recent sales, usable stock and confirmed incoming orders to decide how much to buy. A practical reorder point is expected sales during supplier lead time plus a safety buffer. For example, selling 6 units daily with a 3-day lead time and a 6-unit buffer gives a reorder point of 24 units. Reduce the buffer when shelf life is short and review it around seasonal changes.

5. Separate returns from damaged or expired stock

Ask the supplier about return or credit terms before products approach expiry. Remove expired stock from sale and follow applicable disposal rules. Use the appropriate stock-out reason for damaged or expired goods so quantities and related expenses can be reviewed. Record a supplier credit separately; do not leave unusable goods in available stock.

6. Count a small group every week

Cycle-count high-value, fast-moving and frequently disputed items. Compare the physical count with the system, investigate receiving errors, returns and unrecorded losses, then approve any correction. Review stock-out value and slow-moving items monthly. Measure waste at cost consistently, rather than mixing purchase cost with selling price.

Questions about this workflow

Can software prevent every expiry loss?

No. Accurate purchasing and stock records help, but staff must inspect batches, rotate shelves and remove expired products.

Where should I begin?

Start with the 20 products that produce the most waste. Check their counts, expiry dates, delivery quantities and supplier return terms before increasing purchases.
