How to reconcile cash, KNET and card payments

Day closing should explain where the money is, not simply produce a total. Compare each payment method separately and use the same shift and cut-off time for the POS, cash count and external payment terminal.

1. Set the shift and opening float

Record the opening change float and the responsible cashier. Use a consistent cut-off time. If two shifts share a till, count at handover and document who accepts the drawer. Keep personal money out of the register.

2. Record the actual payment method

At checkout, record cash, external KNET or card payments correctly. If a customer pays 10 KWD as 4 KWD cash and 6 KWD KNET, split the payment instead of assigning the whole sale to one method. Credit sales to customers are amounts receivable, not card receipts or cash collected.

3. Calculate expected cash before counting

Expected closing cash equals opening float plus cash receipts minus cash refunds, recorded cash payments and cash removed for deposit. Example: 30 KWD opening float + 220 KWD receipts − 10 KWD refunds − 15 KWD recorded expenses − 150 KWD removed = 75 KWD expected in the drawer. Count actual cash independently, then compare.

4. Match KNET and card totals with the terminal

Compare AlTijara day-closing payment totals with the external terminal report for the same period. Check terminal approvals, reversals, refunds, duplicate entries and sales recorded under the wrong method. A declined payment is not a collected receipt. Keep the terminal closing report with the shift record.

5. Reconcile bank settlement separately

The bank deposit can arrive later and may be net of fees. Match gross approved terminal payments, refunds, fees and settlement timing to the bank statement. Do not treat a normal settlement delay or bank charge as a cashier shortage. AlTijara records external payments; it does not itself process KNET or automatically reconcile bank settlements.

6. Investigate and approve differences

Record the difference, reason, evidence and reviewer. Correct a wrongly classified payment through the appropriate authorized workflow instead of creating a second sale. Preserve the original record and explain adjustments. Review recurring variances by shift and payment method before drawing conclusions about staff.

Questions about this workflow

Are customer credit sales the same as credit-card payments?

No. A customer credit sale creates an amount owed by the customer. A card payment is collected through a payment provider and settles to the business bank account.

Must the bank deposit equal the same day’s terminal total?

Not always. Cut-off times, weekends, refunds and fees can change the timing or net amount; reconcile those items explicitly.
